Job Description:

Sales Support Coordinator is responsible for supporting the sales team by providing administrative support throughout the sales process. Essential Duties & Responsibilities: Work with sales and sales support team to ensure supporting documentation and data are accurate and submitted in databases correctly. Ensure inquiries and issues are answered and resolved with internal and external customers. Will support one or both phases (Pre-Release and Post-Release) of sales cycle. Liaison with Finance and Credit department. Cross-train within sales support department to ensure a smooth process. Create and maintain projects in database, CRM and reports. Pre-Release: Review job packet from Project Manager for accuracy, create project in CRM and process per customer requirements. Ensure Sales Summary adheres to established TAW acceptance guidelines. Partner with Credit Department to ensure customer and project contracts are set up correctly and with resolution of credit issues throughout the process. Ensure project is entered correctly in databases including item number. Accurately create billing levels in the database and support customer's billing inquiries throughout the sales process. Will be expected to assist with any billing issues. Ensure purchase orders are set up properly. Distribute project information to stakeholders. Support customer and answer inquiries throughout the sales process. Work with customer, sales representative and finance to set and validate Schedule of Values in database. Communicate with Finance on large projects to ensure company guidelines are being followed. Backup and support Billing as needed. Post-Release: Review projects to ensure accuracy of invoicing. Resolve invoice and billing variances by working with internal and external customers. Process Startup request upon receipt of request from customer. Create purchase orders for Service Department for customer's start date. Process Kohler and vendor packing lists upon receipt; determine action needed to complete the process. Review and verify all costs against vendor invoices, job tickets, etc. Create and distribute both picking and packing job tickets and ensure shipment through warehouse. Monitor and ensure all billing, including special billing issues, are processed timely and per specifications. Complete credit and re-bill of projects to resolve and meet both customer and credit requirements. Assist in resolution of tax issues by consulting with Finance department. Partner with Credit department to assist with resolution of any billing issues for customer. Verify dates including delivery and startup dates and ensure dates are accurate in all systems and reports. Education, Skills and Experience: High school diploma with some college preferred and 3-4 years' related office support experience and/or training; or equivalent combination of education and experience. Prefer experience supporting an industrial sales team. Proficiency with all MS programs; experience with government and project-based databases a plus. Excellent written and verbal communication skills. Attention to details and good organizational skills. Ability to work in a fast-paced environment with constant deadlines.
