Job Description YOUR EDUCATION / EXPERIENCE Associate---s or
Bachelor---s degree in a business-related field such as Business
Administration or Communications is desired, but having a degree in
any discipline is a valuable qualification for all candidates. --
Minimum 5 years prior successful experience in Office
Administration with 2-3 professional references. Certifications or
completed coursework in Administrative Software, Business
Communications, Financial Management, computer skills, proficiency
with Microsoft Office applications, bookkeeping software,
organizational software, and/or data entry are very beneficial.
REQUIRED SKILLS Writing : Spelling, punctuation, sentence
structure, reading comprehension, proofreading, and writing in a
variety of styles (creative, professional, technical) are essential
to this position. Must be proficient in professional writing
including emails, memos, letters and other industry-related
reports, documents and correspondence. Computer / Equipment skills
: Computer skills, including basic troubleshooting and proficiency
with Microsoft Office applications (Word, Excel, PowerPoint, and
Access) are required as is the ability to create and contribute to
spreadsheets, draft and share documents, and create engaging and
informative presentations. Must have typing skills and the ability
to operate office equipment: Scanning, copying, etc. Minor
Bookkeeping: Knowledge of bookkeeping processes and financial
management. QuickBooks experience preferred but not required.
Decision-making : The ability to make independent decisions on a
daily basis, addressing the best way to handle specific tasks while
executives are unavailable. Communications: Proficient in the
English language, including verbal and written communications.
Organizational skills: Strong organizational skills with the
ability to multitask and prioritize daily workloads in order to
meet deadlines. Project management skills are necessary, including
goal-setting, budget management and planning. Interpersonal skills:
Must maintain a professional and friendly attitude with all company
employees, customers, and vendors. -- Trustworthy: The ability to
maintain confidentiality. Proof of a previous position of trust is
beneficial. TASKS Provide administrative assistance, including but
not limited to writing, editing, proofreading, replying to and
editing e-mails, drafting memos, and preparing communications and
following up on communications on the Executive---s behalf. Create
and edit documents including letters, briefs, PowerPoint
presentations, reports, and instructional documents. Develop and
maintain an efficient documentation, correspondence, and filing
system for correspondence and documents, both electronic and
physical. Perform various accounting/bookkeeping duties using Excel
or other software provided for Executive---s expenses, Envirolyte
budgets, invoices, etc. Perform research, investigative calls, and
data analysis. Prepare reports as required based on the results.
Negotiate with suppliers and vendors to gather quotes, order
supplies and maintain office inventory. Organize meetings including
scheduling, prepare agendas, assemble materials, send reminders,
organize catering when necessary, and take meeting notes as
requested. Manage the Executive---s calendar, including making
appointments, travel arrangements, and prioritizing their
schedules. Answer and screen phone calls in a polite and
professional manner. Welcome visitors and identify the purpose of
their visit before directing them to the appropriate department or
setting up a later appointment if needed. Work past normal business
hours when required to meet deadlines. The company will work with
you on this. -- Coordinate and complete errands and various other
assignments as needed. Company Description Envirolyte USA is the
newest U.S. manufacturer and distributor of equipment in one of the
most important and in-demand businesses: Disinfection of both large
spaces and large bodies of water. Our new Pompano Beach, FL plant
will manufacture, distribute, and service some of the safest and
most effective disinfecting equipment ever made. As such, we are
looking for an experienced persons with strong skills to assist in
building our company from the ground up. Duties of all position
will vary widely, not just from job to job, but from day to day as
