Job Description:

We are looking for a Professional Legal Administrator. This is an executive-level position responsible for a wide range of activities in all phases of administration, personnel, finances, facilities, and business systems. We need someone with significant hands-on experience. You will handle key administrative responsibilities and play a major role in shaping this firm's culture and business strategy.

The Firm Administrator manages the operations and business functions of the Firm. The Administrator must also work closely with the Managing Attorney, CFO, Business Development Director, and fractional/vendor advisors. In other words, this position has broad discretion and authority to manage processes throughout the business (except for the actual practice of law or direct supervision of the Associates).

--- Work with the Owner and key vendors to improve financial controls and analyze key financial reports to identify inefficiencies in the Firm and spot opportunities for improvement to the Firm's bottom-line
--- Develop and manage a proactive and organized sales process and pipeline, and track achievement against strategic objectives and business plan
--- Work with the Firm's CFO and Accounting Staff to oversee and execute financial systems: time-tracking, billing, trust account management, collections, bookkeeping, expense management, accounts payables, payroll, audits, taxes
--- Hiring manager in charge of recruitment, hiring, initial orientation, and on-boarding. Oversees the administrative aspects of attorney hiring and works with the executive-level attorneys to interview on-board and train attorneys
--- Create an internal audit system to trigger red flags when systems are not working optimally, investigate the reason for the failures, and propose solutions (whether related to personnel, technology, workflow, etc.)
--- Liaise with IT, professional service, and other vendors to facilitate the smooth operation of the back-end operations of the Firm
--- Refine and maintain the Firm's technology infrastructure to minimize waste and maximize internal efficiencies within the Firm

--- You must have experience managing a team of more than 10 people and a budget of more than $5,000,000. This is not a position for an "Office Manager" or an "Administrative Assistant."
